About the Role

As the Project Procurement Assistant, you will provide essential procurement and operational support to UNDP Cyprus’ diverse projects, contributing directly to our peacebuilding initiatives through efficient and compliant procurement processes.

Key Responsibilities:

  • Supporting Procurement Processes:
    • Prepare and update procurement plans.
    • Conduct market research to identify potential suppliers.
    • Organize procurement processes (RFQs, ITBs, ITPs, RFPs), manage quotations/bids/proposals, and serve as secretary for evaluation panels.
    • Provide input for supplier selection, evaluation criteria, and performance measurement.
    • Prepare tender evaluation reports.
    • Submit procurement cases to CAP and ACP.
    • Manage buyer profiles in Quantum and utilize e-tendering/e-procurement modules.
    • Prepare contracts, vendor information, and purchase orders (POs).
    • Address PO budget check errors and other issues promptly.
    • Monitor project procurement contracts, including output-based individual contracts.
    • Maintain organized hardcopy and electronic procurement files.
    • Handle local shopping and micro-canvas processes efficiently.
    • Ensure proper control of project assets, participate in physical verification, and manage asset transfers.
    • Handle transportation and import/export formalities.
    • Undertake other procurement support duties.
  • Supporting Implementation of Operational Strategies:
    • Ensure full compliance with UN/UNDP rules, regulations, policies, and strategies.
    • Contribute to mapping office procurement business processes and developing SOPs.
    • Review project financial transactions and expenses for accuracy and compliance.
    • Perform other operational duties as needed.
  • Supporting Building Partnerships:
    • Maintain regular and effective communication with partners, project counterparts, stakeholders, and beneficiaries.
    • Support the dissemination of high-quality information and enhance project visibility.
  • Supporting Knowledge Building and Knowledge Sharing:
    • Participate in training sessions on procurement procedures.
    • Contribute to procurement knowledge networks and communities of practice.
    • Participate in office committees as required.
  • Undertaking Other Duties:
    • Perform other tasks within your functional profile as needed.

Qualifications and Experience:

  • Education: Completion of Secondary Education required. A University degree in Business Administration, Public Administration, Architecture, Civil Engineering, Economics, or a related field is desirable. CIPS Level 2 certification (or obtained within one year of recruitment) is highly desirable; lower CIPS levels will also be considered favorably.
  • Experience:
    • Minimum five (5) years of relevant administration or procurement experience (with secondary education).
    • Minimum two (2) years of relevant administration or procurement experience (with a Bachelor’s degree).
  • Required Skills:
    • Proven computer skills in MS Office Suite (Word, Excel, Outlook, PowerPoint) with advanced spreadsheet knowledge.
    • Valid driver’s license.
  • Desired Skills:
    • Previous UNDP work experience.
    • Background in Civil Engineering.
    • Experience supporting project financial management.
    • Demonstrated procurement experience.
    • Experience working effectively with multiple stakeholders.
  • Required Languages:
    • Fluency in English.
    • Fluency in Greek.
  • Other: Open to nationals or permanent residents of Cyprus.
